TrakLogger is a subscription-based SaaS platform, developed and provided by Build80, that delivers employee attendance tracking via TrakLogger mobile application (“App”) and the TeamLogger Web Dashboard (“Web Dashboard”) at traklogger.com. This Privacy Policy explains how we collect, use, share, and protect personal information when employees of our business customers use the App and Web Dashboard.
TrakLogger is intended solely for authorized employees of subscribing businesses. By using the App or Web Dashboard, you agree to the practices described here.
Information We Collect
- Account Information: Name, work email, and profile details provided by your employer or during account setup.
- Attendance Data: Timestamped check-in/check-out events linked to your account and designated work site or task.
- Device ID: Device ID reported by your device operating system.
- Location Data:
- On-Clock Tracking: GPS coordinates collected only while you are checked in (and with your permission) to verify your work location.
- Geofence Mode: Device uses on-board location to auto-trigger check-ins/outs when entering/exiting defined zones; continuous GPS points remain on your device and only the resulting event is uploaded.
- Site & Schedule Info: Worksite details, schedules, and geofence boundaries entered by your employer into the Web Dashboard.
- Website Analytics: Non-personal usage data (IP, browser, page views) collected on traklogger.com via Google Analytics for improving our marketing site and dashboard UX. No personal employee or location data from the App is sent to Google Analytics.
We do not collect sensitive data (e.g., home address, personal contacts, photos, financial info) or use any third-party logins.
How We Use Your Information
- Service Delivery: Enable check-in/out, record work hours, and display real-time attendance to your employer.
- Geofence Automation: Process location on-device to trigger events without continuous uploads.
- Dashboard Functionality: Populate your employer’s TeamLogger Web Dashboard with attendance, location tags, schedules, and reporting.
- Account Communications: Send transactional emails (password resets, security alerts) — no marketing to employee users.
- Internal Analytics & Improvements: Aggregate crash reports and performance logs (not tied to identities) to enhance reliability.
- Security & Fraud Prevention: Verify logins, detect anomalies, and protect accounts.
- Legal Compliance: Disclose or retain data as required by law (e.g., subpoenas).
How We Share Your Information
- Your Employer (Data Controller): Employer administrators access your profile, attendance, and location check-ins via the Web Dashboard.
- Service Providers: Trusted processors (e.g., cloud hosting, push-notification services) bound by strict confidentiality.
- Google Analytics: Receives only non-identifying website usage data; no App data is shared.
- Legal & Safety: Disclosures for subpoenas, to protect rights/property, or in emergencies.
- Business Transfers: On merger or sale, data may transfer under the same privacy commitments.
Data Retention
- Attendance & Location: Retained for duration of your employment/subscription or as required by your employer for compliance.
- Account Info: Kept while your account is active; deleted/anonymized upon deactivation unless legally required otherwise.
- Geolocation Data: Continuous logs stored per above; geofence-only event data retained.
- Web Analytics: Retained per Google Analytics’ standard settings; you can clear cookies or opt-out.
Your Rights & Choices
- Access & Correction: View/edit your profile via the App or request updates through your employer or us.
- Deletion (Erasure): Email privacy@traklogger.com to request removal of your personal data. We’ll verify and process within a reasonable timeframe, notifying your employer if needed.
- Revoke Location Consent: Disable location for TrakLogger in your device settings—but note some features may not function.
- Opt-Out Analytics Cookies: Refuse or clear cookies in your browser; use Google’s Opt-Out Add-On to stop Analytics tracking.
- Data Portability: Employers can export reports; contact us if you need a direct data export.
- Regional Rights: Residents of the EU, California, etc., have additional rights under GDPR/CCPA. To exercise them, please contact us.
Security
- Encryption: TLS/HTTPS in transit; encryption at rest where feasible.
- Access Controls: Secure login, role-based permissions, session timeouts.
- Infrastructure: Hosted in secure data centers with firewalls, monitoring, and routine patching.
- Audits & Testing: Regular vulnerability scans, code reviews, and access logging.
- Breach Notification: We’ll notify affected parties promptly in line with legal obligations.
